This Privacy Policy explains what personal information Charisma Space Design Studio (“Charisma Space”, “we”, “us”) collects through charismaspace.ca, why we collect it, and the choices you have. We aim to handle personal information in line with applicable Canadian privacy law, including British Columbia’s Personal Information Protection Act (PIPA) and the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who we are
Charisma Space Design Studio is an architectural design, interior design and 3D visualization studio. Our Vancouver B.C. office is at 1283 River Dr, Coquitlam, BC V3E 1N7, Canada. We also have an office in Tehran, Iran. Our website address is https://charismaspace.ca.
2. Information we collect
Contact and quote forms
When you send us a message, we collect your name, email address, phone number, the subject and your message. If you use the Interior Planner and choose to send your plan to our designers, the plan summary, budget, timeline and notes you include are sent to us in the same form.
Job and collaboration applications (Careers page)
If you apply through our Careers form, we collect the details you enter: first and last name, email address, phone number, country, the position you are applying for, expected salary or rate, a link to your resume and portfolio or website, a picture if you provide one, your message, and the optional fields gender, age range and education or degree. Please provide only what you are comfortable sharing.
Client portal and login requests
Clients can sign in to our Client Portal to follow the progress of their project, including the current stage, next steps and meeting summaries. Accounts are created by us, and your username and password are sent to you by Charisma Space. If you use the “Forgot your password?” form to ask for your login details, we collect your email address, phone number and customer number and use them only to identify you and send your login details. Signing in uses essential cookies that keep you logged in.
Live chat
Our site includes a live chat widget provided by Tawk.to. If you use it, the messages you send and technical information such as your IP address and browser are processed by Tawk.to so that we can answer you. Tawk.to may set its own cookies.
Analytics and technical data
With your consent, we use Google Analytics 4 to understand how visitors use the site (pages viewed, approximate location, device and browser). We also use the Burst Statistics plugin, which runs on our own website, for aggregate traffic statistics. Like most websites, our server and security tools may record your IP address, browser type and the pages requested, for security, spam prevention and troubleshooting.
Embedded services
Our pages load fonts from Google Fonts, and the Contact page may show a Google Map. When these load, Google receives your IP address and basic browser information.
Comments
If comments are enabled on a post, we collect the name, email address and comment you submit, plus your IP address and browser user agent to help detect spam.
3. How we use information
- To reply to your enquiries, prepare proposals and deliver our services.
- To consider job and collaboration applications.
- To operate, secure and improve the website, and to prevent spam and abuse.
- To understand how the site is used (analytics, only with your consent for Google Analytics).
- To meet legal obligations.
We do not sell your personal information.
4. Cookies and similar technologies
Essential cookies and similar storage keep the site working and secure. When you first visit, a small bar asks whether you accept or reject analytics. Your choice is stored in your browser’s local storage for up to 180 days. Google Analytics is loaded only if you accept. The live chat widget (Tawk.to) sets its own cookies and is not controlled by that choice. You can change your decision at any time: Cookie settings. You can also block or delete cookies in your browser settings.
5. Who we share information with
We share information only with service providers that help us run the site and our business, and only as needed: web hosting, email delivery for form notifications, live chat (Tawk.to), analytics (Google), and embedded Google services (Fonts and Maps). Team members in our Canadian office may access information you send us. We may also disclose information when the law requires it.
6. Where information is stored
Our website is hosted on a server in Helsinki, Finland, so information you send us may be stored outside your own province or country, where privacy laws may differ from those in Canada. By submitting information you understand this.
7. How long we keep information
We keep enquiries and project correspondence for as long as needed for the purpose they were collected for, and as required by law. We keep job and collaboration applications for up to 24 months, then delete them. You can ask us to delete your information sooner at any time.
8. Your choices and rights
You may ask to see the personal information we hold about you, ask us to correct it, withdraw your consent, or ask us to delete it, subject to legal limits. To make a request, email us at the address below. If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
9. Security
We use reasonable safeguards to protect personal information, including access controls and security tools on our website. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Children
Our website and services are not directed to children, and we do not knowingly collect personal information from them.
11. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows the latest version.
